Description

The Legal Team Assistant (LTA) provides administrative support to attorneys and staff office-wide. The LTA works collaboratively and cooperatively with others in a team-oriented environment to deliver the highest level of service to internal and external clients. This individual must maintain positive working relationships and adhere to strict confidentiality, timeliness and accuracy of all related work.

ESSENTIAL FUNCTIONS

Provide administrative support to attorney teams office-wide, including, but not limited to, the following:

  • Process client conflict checks and engagement letters.

  • Input attorney time entry.

  • Prepare legal correspondence, including printing, scanning and converting documents.

  • Prepare materials for filing with courts and coordinate delivery to local courts.

  • Prepare and serve correspondence via FedEx or Certified Mail as directed.

  • Process attorney and vendor check requests, membership renewals, travel arrangements, etc.

  • Ensure proper indexing and filing of legal documents in both electronic and paper form.

  • Create and maintain original and electronic client case files, including using appropriate document management software.

  • Retrieve case files and prepare files for offsite storage in accordance with the Information Governance departmental procedures.

  • Organize and barcode client files.

  • Assist with preparation of office events and meetings.

  • Perform notarial acts (notarizing or witnessing).

  • Perform front desk operations, which includes greeting and assisting visitors and screening calls.

  • Works collaboratively and proactively with the Office Administrator to complete local office projects, tasks and initiatives.

  • Work collaboratively and proactively with the CST Specialists, ARC Team, and other Legal Team Assistants;

  • Collaborate with resources inside and outside the firm as appropriate to complete projects and tasks; and

  • Adhere to all firm policies, procedures, standards and guidelines while maintaining confidentiality.

Qualifications (Experience, Knowledge, Skills and Abilities)

  • Minimum of two years’ related experience at a law firm or other client services industry.

  • Excellent verbal and written communication skills. High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

  • Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, and decision-making skills.

  • Ability to maintain highest level of confidentiality and provide outstanding customer service to internal and external clients/contacts.

  • Keyboarding skills of 60 wpm or higher required.

  • High level of proficiency using a variety of office equipment and Microsoft Office Suite (Word, Excel, Outlook).

  • Excellent organizational skills and close attention to detail.

  • Demonstrates initiative and ability to work independently.

  • Ability to gather and summarize data for reports, finds solutions to various administrative problems, and prioritizes work.

ADDITIONAL FUNCTIONS:

  • Understanding of all front desk and Records Management processes;

  • The Legal Team Assistant will conduct duties and responsibilities at the reception desk;

  • Other related duties, as assigned.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • This job operates in a clerical, office setting. This role routinely uses standard office equipment including, but not limited to computers, telephones, printers, and copiers.
